Voicloud for Mac

1. Data we may access

The App may access the following data. All of it is stored locally on your Mac and is never sent outside your device unless you explicitly choose to upload or send it.

• Audio recordings — Microphone audio and system audio (captured via Core Audio Process Tap) are saved locally inside your Mac's Application Support / Library directories.
• Transcripts, summaries, and Action Items — Text generated by the App is stored in the local SwiftData store.
• Vector embeddings — For the Related Documents feature, the App computes numeric vectors locally using Apple's NLEmbedding framework and stores them alongside each recording. These cannot be used to reconstruct the original audio or text.

2. macOS permissions required

• Microphone — Required to record audio (your voice and any system audio such as Zoom / Meet calls). Voicloud uses Core Audio Process Tap (CATap, macOS 14.2+) to capture system audio, so Screen Recording permission is NOT required.
• Reminders (optional) — Only required if you choose to send extracted Action Items to macOS Reminders.

3. Cloud upload (optional)

You may upload recordings to your own Google Drive / Dropbox / OneDrive / Box / iCloud Drive account. These uploads go directly to your account; they do NOT pass through any developer-operated server. OAuth credentials are stored only in the macOS Keychain.

4. AI features (Apple Intelligence + optional Gemini AI)

Default (offline): Transcription uses Whisper.cpp and summary / Action-Items extraction / related-document suggestions use Apple Intelligence (FoundationModels). All processing is completed on your Mac.

Opt-in (Gemini AI): Only when you enter a Gemini API key (Google AI Studio or Vertex AI) in Settings does the App send audio or text to Google's services for transcription or summary. You will be billed separately by Google in that case. Voicloud does not relay your data — requests are sent directly from your device to Google APIs.

AI auto-title (Gemini Flash): After a transcript completes, Gemini Flash 2.5 reads the transcript text and suggests a content-aware title. Only the text (not the audio file) is sent. You can turn this off in Settings → "AI auto-title". Recordings whose title you've manually edited will never be touched by AI rename.

API keys are stored encrypted in the macOS Keychain and are not accessible to the developer of Voicloud.

4-2. Notification Center

Voicloud delivers notifications for recording saved / transcription complete / summary complete / pipeline failure to macOS Notification Center. Notification content (titles and bodies) is generated locally on your Mac and delivered by Apple's local notification system — nothing is sent to external servers. Each event type can be turned on/off independently in Settings.

5. No transmission to developer servers

Voicloud does not transmit your audio, transcripts, summaries, or Action Items to any server owned or operated by the developer. All processing occurs on your Mac, in cloud services you have explicitly authorized (such as Google Drive), or in AI services you have opted into (Gemini API).

6. Diagnostic data (MetricKit)

The App may collect diagnostic information such as crashes, hangs, memory usage, and CPU exceptions via Apple's native MetricKit. These are aggregated by Apple and stored as JSON in a Voicloud-specific folder on your device (Application Support/Voicloud/Diagnostics). If "Share with App Developers" in macOS Settings → Privacy & Security → Analytics & Improvements is off, the developer receives nothing.

7. Analytics

The App does NOT integrate any analytics SDK (Google Analytics, Firebase, Sentry, etc.). We do not collect user behavior or usage statistics independently.

8. Advertising

The App displays no advertisements. Voicloud is a one-time-purchase Mac App and contains no ad SDK whatsoever.

9. Children's Privacy

Voicloud is not directed at children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to this policy

This Privacy Policy may be updated from time to time. When changes are made, this page is updated and the effective date is changed. Material changes will be communicated via in-app notification.
